Manage shifts from the web app
Employers use the web app to create worker roles, build worker pools, publish shifts, notify workers, and review attendance records.
Sign in or create an account
- Open the app. You will see the Login page.
- You have two ways to log in: OAuth or username and password.
- OAuth login is through Google or Apple.
- If you have a Google account or Apple account, use that login to sign in to ShiftAccept.
- If you do not have a Google or Apple account, or do not wish to use them for login, log in with username/password.
- If you use Google or Apple, the account creation process is automatic because the account is verified.
- If you do not use Google or Apple, you must select Create Account.
- In Create Account, enter your name, username, and password, then click Create Account.
- After you click Create Account, ShiftAccept will take you to the Verification Code page.
- Check your email for the verification code from ShiftAccept.
- Enter the code from the email into the Verification Code page, then click Verify Account.
- After verification, ShiftAccept will take you to the next page: How will you use ShiftAccept?
Choose employer
- If you are an employer, choose Employer.
- This instruction is for employers, so choose Employer.
- If you are a worker, choose Worker and find the worker instruction to continue.
Choose a subscription or free trial
- This instruction continues below as an employer.
- If you choose Employer, you will be shown the main Menu page.
- There you will see only Billing and Settings links available to you.
- Click Billing and inspect the billing plans or subscriptions available to you.
- You can pick one subscription, which will take you through payment where you will be charged.
- Or you can try a 7-day free trial.
- If you want to try a 7-day free trial, click the button that says Start Free 7 Day Trial.
- After you select a subscription or free trial, refresh the app to enable all features.
Create your company profile
- First, you must create your company profile.
- Enter the details requested in the company profile creation form and click Create Company Profile.
- After your company profile is created, ShiftAccept will take you to the Menu page, where all links associated with employers are listed.
- Begin by adding worker roles, because without worker roles, nothing will display in Interviews.
Add worker roles
- In the Worker Roles page, add the worker roles your company hires.
- The Browse All Roles section has worker roles already added to ShiftAccept and used by other employers.
- Think of a worker role as a job title for workers. For example, PSW - Personal Support Worker may already be found there.
- Add an existing worker role to your Worker Roles We Hire list by clicking Add.
- You can also add your own worker role if it is not found there.
- If you add your own worker role, it must be approved by the ShiftAccept team, and workers must also use it. It is better to use an existing worker role that many people use and workers are more likely to select.
Find workers and send interview invitations
- After you add worker roles, go to Interviews.
- In Interviews, open Find Workers.
- If you added worker roles in the previous steps, Find Workers will show a list of workers who use those worker roles.
- Each worker card has a clickable name and a clickable Send Interview Invitation button.
- If you click the worker name, it opens the worker details. If the worker has added a resume, the resume can be viewed in PDF preview format.
- If you click Send Interview Invitation, an interview invitation will be sent to the worker.
- The worker will then have access to request an interview from you. The worker will send details of their availability, and you can schedule an interview for them.
Schedule interviews
- When the worker sends the interview request, it will appear on the Needs Scheduling page.
- When you click the card in Needs Scheduling, you will be shown the Interview Invitation detail page.
- On the Interview Invitation detail page, click Schedule Interview.
- The Schedule Interview form lets you select interview types such as Phone Call, In Person, Video Chat, or Text Chat.
- Each interview type has its own additional details, such as address, video chat links, or phone numbers, which you need to enter to set up the interview.
- After you set up an interview, both you and the worker will be shown the interview details and additional buttons for interview management, such as Reschedule, Cancel, Add to Backup Worker List, or Add to Scheduled Worker List.
Add interviewed workers to worker pools
- The main goal of an interview is to add workers to worker pools.
- The process is to find workers, interview them to verify documents, and add them to worker pools.
- After the interview is complete, the worker can be added to a worker pool by selecting either Add to Backup Worker List or Add to Scheduled Worker List.
Manage Worker Pool
- In the Worker Pool page, added workers are separated into Backup Worker List and Scheduled Worker List.
- Groups are used to organize workers within each pool type.
- You can create a group for Backup Workers, and this group will be used to bulk select workers when sending notifications in Shifts.
- You can also add workers in the ShiftAccept system to Worker Pool by searching and adding through Quick Add.
- This way, you do not need to go through the interview process and can add workers in ShiftAccept directly to your worker pool.
Create shift drafts
- After you have workers in Worker Pool, you can create shifts and publish shifts.
- Workers will be notified and can accept your shifts to perform the duties listed in the shift duties section.
- In the Shifts page, go to Create Shifts / Drafts.
- There will be a form to fill out for your shift.
- In the worker role field, type the name of the worker role. Below the input field, a matching list will appear.
- Click the name of the worker role in the matching list. It will replace the input field and appear as the selected option.
- Use address search to select an address from autosuggestions.
- If the address has a unit or suite number, enter it beside the street name as Unit 123 or Suite 123. The suggestion will show the address with the unit or suite number, and you should select it. The main part to check is the status: Coordinates are set. Workers can check in at this address. If you see this status, the address coordinates are set for workers to check in.
- Fill out the rest of the form. After you fill in the details, click Save Draft, which saves the draft under the Drafts page.
Select workers and publish shifts
- In the draft, select the shift, then select Backup Workers or Scheduled Workers before publishing.
- At the bottom of the draft shift, a Backup Workers or Scheduled Workers button will appear.
- Clicking the button will open the worker selection page, where the list of workers from Worker Pool will appear.
- Select the workers to offer the shift to. ShiftAccept will send notifications to all selected workers and notify them that a new shift is available when the draft is published.
- During shift publishing, only email, in-app, and app push notifications are sent automatically.
- If SMS messaging is needed, which costs extra, select workers in the draft Backup Worker or Scheduled Worker selection page, then go to the Selected button at the top.
- There you will see whether the worker has enabled SMS. If yes, a checkbox will show for SMS.
- Click and enable the SMS checkbox for the worker. When publishing, SMS will be sent to the worker.
- To see SMS messaging billing status, go to Billing, then SMS Fee History on the desktop web version of ShiftAccept.
Track responses and attendance
- After notifications are sent, workers will accept or decline the shifts, and you will be notified of their decision.
- If the worker accepts the shift, they will check in at the service location, where they are verified to be within 75m.
- A shift is considered successfully filled when the worker checks in at the service location. At that time, a shift filling success fee for verified check-in is charged as a Check-In Fee.
- To see Check-In Fee details, go to Billing, then Check-In Fee History on the desktop web version of ShiftAccept.
- When the worker checks out, a notification will be sent to you indicating that the worker checked out.
- If the worker forgets to check out, the system automatically checks out the shift at the specified time you entered when creating the shift.
- Completed shifts, no-shows, and cancelled shifts are accessible in their respective pages. If they are not found there, they can be found on the All page.
